Choice Schools Associates, located in Wyoming, MI, is seeking a kind, humble, passionate, and driven Executive Assistant to join our energetic and supportive team. This position will enable the Chief Executive Officer and the Director of Strategy and Growth to what is most important - students' learning and organizational development, while you:

  • Serves in the "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the Leadership team and staff, demonstrating leadership to maintain credibility, trust, and support with the Leadership Team. Complete projects by assigning work to appropriate staff, including the Leadership team.
  • Works with the Leadership Team to coordinate outreach activities. Follow up on contacts made to cultivate ongoing relationships.
  • Serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Leadership team, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the supervisory team's style and organization policy.
  • Works closely with the Leadership team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping them updated. Anticipate their needs in advance of meetings, conferences, etc.
  • Handles, reviews, and prepares correspondence & communications as requested.
  • Assists with returning phone calls and emails.
  • Maintains an effective and efficient email management system.
  • Checks voicemail boxes and replies to messages as needed.
  • Manages the expense reimbursement and tax organization process.
  • Manages personal electronic calendars.
  • Schedules meetings as requested and prepares materials; including meeting agendas, minutes, and follow-up on action items, and meeting rooms when needed.
  • Manages travel planning/scheduling upon request and attends meetings when appropriate and requested.
  • Strategically schedules, coordinates, and attends all aspects of events as requested. Event preparation may include attention to details such as securing location, food, invitations, material preparation, signage, gifts, and travel/transportation. When making arrangements, appropriate consideration shall be given to cost with approval given by the appropriate event leader. This also includes note-taking at the event upon request.
  • Maintains electronic databases and paper filing systems for the Leadership team.
  • Keeps company agendas, minutes, resolutions, and records in compliance with Articles of Incorporation and Bylaws.
  • Serves as the lead researcher and organizer for new and ongoing projects.
  • Serves as a project manager using for tasks, projects, and goals for the Leadership team.
  • Prepares presentations as requested.
  • Forecasts agenda topics, prepares and sends agendas for Leadership team meetings.
  • Assists Leadership team with employee morale activities such as birthday celebrations, team celebrations, holiday celebrations, etc.
  • Runs errands and coordinates services to assist the Leadership team with time management.
  • Provide backup front office support for receptionist and administrative assistant as needed.
  • Proactively anticipates and supports the needs of the Leadership team. Ability to forecast and manage the implementation of supports needed in a timely manner.
  • Other duties as assigned by the CEO and Director of Strategy and Growth.

Qualifications for this role include:

Minimum Requirements:

  • Baccalaureate degree required, advanced degree preferred.
  • Excellent verbal and written skills using proper grammar and vocabulary
  • Strong interpersonal skills and adept at establishing and maintaining good rapport and working relationships at all organizational levels
  • Demonstrated appropriate customer service attitudes in a variety of work settings
  • Extraordinary work ethic as demonstrated in areas including but not limited to attendance, attitude, and quality work the first time
  • Demonstrated ability to act independently upon information and make decisions that achieve optimal results
  • Demonstrated knowledge, mastery, and excellence in all MS Office applications (Word, Access, Excel, PowerPoint), Outlook and Google applications, Smartphone technology, Social Media, data warehouse applications, analysis applications, and other applicable new technology.
  • Excellent personal and professional references.

Desired Requirements:

  • Project management certification

Schedule: Salary, Full-time, year-round, as needed travel within Michigan.
