Director of Pupil Accounting and Enrollment

The Choice Schools Associates Communications and Marketing Team is looking to expand its dynamic team with a Director of Pupil Accounting and Enrollment. We're looking for a highly motivated, self-starter that thrives in a fast-paced, highly creative environment.

This position will be a critical member of the Communications and Marketing Team, acting as the linchpin in our enrollment experience. This role will be focused heavily on relationship building and customer service, as well as technical, behind-the-scenes enrollment processes and systems, especially with Count Day.

This role will support our schools with their student enrollment process from start to finish. This role will work hand in hand with school-level staff to ensure they have the strategies, resources and training they need to meet and exceed their enrollment targets.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION: This individual must be able to perform each essential duty listed below at an excellent level:


Act as the liaison between the Central Office and the school-level office and enrollment teams to ensure goals are met, students have the resources they need and families know where to go for support.

  • Manage re-enrollment and enrollment process from start to finish.
  • Be the conduit between Central Office and the schools to set obtainable, realistic enrollment and retention goals.
  • Frequently collect, evaluate, and share enrollment and retention data (historical, trends, forecasting).
  • Work with the school-level teams to establish effective enrollment experiences and systems for families.
  • Ability to walk alongside the school-level teams to create a welcoming and inclusive enrollment and re-enrollment experience for all students.
  • Troubleshoot the enrollment processes, especially roadblocks for parents/students (access, uniforms, barriers, etc.).
  • See enrollment from both the parent and the school point of view, to ensure our experience showcases what the school has to offer.
  • Support the school leadership teams and office managers with attendance and truancy.
  • Ensure alignment with the enrollment strategies and the marketing/communications strategies.

Lead the school-level enrollment teams and act as the liaison for office managers to ensure they have the best training and coaching they need to thrive.

  • Be the liaison between office managers and Central Office, acting as their main contact to assist with whatever they need.
  • Train new and seasoned office staff in customer service, enrollment process/tours & operations expectations.
  • Own the onboarding process for new office and enrollment team members.
  • Host frequent peer group meetings based on enrollment team member needs regarding process/experiences.
  • Work directly with the communications and marketing team to implement robust school-specific communications and marketing plans.
  • Create cross-functional reporting for finance, grants, ISD, special education, and superintendent needs.

Lead the Central Office Pupil Accounting accountability and integrity.

  • Manage and organize all aspects of Count Days at the school-level, including training, reporting, submissions.
  • Develop and lead the PowerSchool & MISTAR Registration and Paper Enrollment applications creation process as well as all enrollment paperwork needed.
  • Coordinates Open Enrollment notices and lottery logistics.
  • Support schools with MCIR collect/submit Immunization information
  • Ensure all enrollment documents are in alignment with state laws, charter agreements and board policies.
  • Negotiate and manage the SIS enrollment contract, support, and troubleshooting with PowerSchool and MISTAR.
  • Mentors and trains school-level pupil accounting staff & leaders.
  • Lead the weekly enrollment reporting during enrollment season, and attendance reporting during the school year.
  • Manage all MDE Pupil Accounting reports ensuring accurate and timely submissions by the school. (K-12 and GSRP as appropriate)
  • Manage all K-12 ISD Pupil Accounting reports ensuring accurate and timely submission by the school. (K-12 and GSRP as appropriate)
  • Manage MDE Clock Hours and School Calendar Reports, including SID, SRM, TSDL, Third Grade Retention, Section 25, Early Reading Deficiency, CRDC.
  • Support school-level teams with MSDS, MISTAR, & PowerSchool Pupil Accounting.
  • Support school-level teams with on-site CA-60 audits.
  • Support school-level teams with Graduation and Dropout reporting and monitoring.
  • Regularly reminds pupil accounting and enrollment staff by email of deadlines.
  • Know and reference the MDE Pupil Accounting Manual to lead and support the school level teams.
  • Works collaboratively with the Director of Technology in supporting the pupil accounting aspect of the Student Information Systems.

About You:

  • 6+ years of preferred pupil accounting experience working with multiple schools or in a large district with demonstrated experience with managing comprehensive enrollment and compliance programming.
  • An innate ability to coach, train and lead complex projects with a variety of details
  • Strong resilience, ability to lead through ambiguity, and persistence to move forward.
  • Love coaching and acting as a liaison to solve problems and create lasting solutions.
  • Truly passionate about data integrity and compliance.
  • Experience in Michigan Pupil Accounting manual and current statutes, including the State School Aid Act and the Revised School Code.
  • Demonstrated ability to effectively create and present enrollment data and reports.
  • Strong leadership, organizational and collaborative skills.
  • Strong written and verbal communication skills with the ability to communicate.
  • Bachelor's Degree in Business, Marketing, Education, Communications, or a related field is required.
